Terms and Conditions of Service

These terms apply to every appointment, scan, procedure, consultation, report, medicolegal instruction and training course provided by LSRI LTD, trading as London Sports and Rheumatology Imaging (LSRI), whether booked by you, by a referrer, by an insurer or by a solicitor on your behalf. By booking or attending you accept them. Please read them with our Privacy Policy. If you are a consumer, nothing in these terms removes your statutory rights.
1. Our service. LSRI provides private diagnostic imaging (MRI, ultrasound, X-ray), ultrasound-guided injections and other image-guided procedures, consultant consultations, second opinions, medicolegal reporting and CPD training. Our clinicians are registered with the General Medical Council or their relevant professional body and are responsible for their own clinical judgement. Some clinicians who practise at LSRI are independent practitioners; where that is the case we will tell you, and the contract for their clinical care is with them.
2. Bookings and the contract. A booking request (by phone, email, WhatsApp, online, or via a referrer) is an offer. A contract is formed when we confirm the appointment in writing (email, SMS or WhatsApp). We may decline or cancel a booking at our discretion, for example where the referral is unsuitable, the scan is not clinically appropriate, or safety screening identifies a contraindication; any pre-payment will then be refunded in full.
3. Referrals and self-referral. MRI and X-ray require a referral from a registered clinician; where you do not have one, our consultant may assess you first and decide whether the scan is appropriate. We may decline to perform a scan we consider clinically unjustified (Ionising Radiation (Medical Exposure) Regulations 2017 for X-ray). Ultrasound and injections may be self-referred subject to clinical assessment.
4. Fees and payment. Our prices are listed on lsri.uk/pricing/ and confirmed at booking. Unless an insurer or other third party has agreed in writing to pay us directly, you are responsible for payment in full, on or before the day of your appointment. We accept card, bank transfer and any other method we confirm at booking. Where a scan takes longer, covers more body parts, or needs contrast or additional sequences, the fee may increase; we will tell you before proceeding where practicable. Reports, images and letters may be withheld until payment is received, except where this would risk your safety. Overdue accounts may be referred to a debt-collection agency and incur interest at 4% above the Bank of England base rate plus reasonable recovery costs.
5. Insured patients. If you are claiming on private medical insurance you must obtain pre-authorisation before your appointment and give us the authorisation number. You remain liable for any amount your insurer does not pay, including policy excesses, shortfalls, non-covered items and claims declined after the event, and you must pay these within 14 days of our invoice. Insurer fee limits may not cover our full fee; we will tell you if we expect a shortfall. Please check your policy; we are not responsible for insurer decisions.
6. Instalment plans. Where we offer interest-free instalments through PayPal or a similar provider, the plan is a separate agreement with that provider, subject to their eligibility checks and terms. Where LSRI itself agrees to accept payment by instalments, this is at our discretion and a missed instalment makes the full balance immediately due.
7. Cancellations, rescheduling and non-attendance. You may cancel or reschedule free of charge up to 48 hours before your appointment. Cancellations within 48 hours, late arrival that prevents the appointment taking place, or failure to attend will be charged the full fee for the appointment, and any deposit is forfeited; this reflects that a scanner or clinician slot cancelled at short notice cannot be re-filled. Scans booked at partner centres may carry that centre’s own cancellation charge, which we will pass on. We will try to give you as much notice as possible if we have to cancel (for example scanner breakdown, clinician illness) and will offer a new appointment or a full refund of any amount paid for that appointment; we are not liable for travel, accommodation, lost earnings, your time, inconvenience or any other loss you incur as a result. Your right to cancel under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013: if you book at a distance (online, by phone or by message) you have 14 days from booking to cancel without charge, unless the service has already been performed. By booking an appointment that falls within those 14 days you ask us to start providing the service during the cancellation period, and you agree that: once the appointment has taken place you lose the right to cancel; and if you cancel within 48 hours of the appointment, or do not attend, the cancellation charge above is payable as a reasonable pre-estimate of our loss.
8. Deposits. We may ask for a deposit or full pre-payment to secure a booking, particularly for MRI, partner-centre scans and medicolegal appointments. Deposits are non-refundable if you cancel late or do not attend (clause 7).
9. Partner imaging centres. Some scans and X-rays (including most for patients seen at our Harrow clinic, and all scans in our wider UK network) are carried out at partner centres such as Vista Health, InHealth, Modality LLP or other providers. In those cases: the scan is performed by the partner centre’s staff on its equipment under its own protocols, safety procedures, insurance and terms, which you will be asked to accept; LSRI’s role is to refer, arrange, and (where agreed) report on the images; LSRI is not responsible for the partner centre’s acts, omissions, equipment, premises, delays, cancellations, image quality or data security, to the fullest extent permitted by law; and partner centres may contact you directly to confirm safety screening and appointment details.
10. Before your appointment: your responsibilities. You must give us complete and accurate information about your identity, medical history, medication, allergies, implants, devices, previous surgery, pregnancy or possible pregnancy, and any claustrophobia or mobility needs, and update us if anything changes. MRI is unsafe with certain implants and devices; you must complete the MRI safety questionnaire truthfully and bring details of any implant. We are not liable for harm or wasted appointments caused by inaccurate or incomplete information. Please arrive 15 minutes early with photo ID, your referral, insurer authorisation and any previous imaging. Children under 16 must be accompanied by a parent or guardian with authority to consent.
11. Consent and clinical risk. Every scan, injection or procedure carries some risk and no outcome can be guaranteed. Your clinician will explain the procedure, its benefits, risks, side-effects and alternatives and obtain your consent before proceeding (in writing for injections and procedures). You may withdraw consent at any time. Results of imaging depend on the clinical question asked; a normal report does not exclude every condition, and some findings require further tests. Injections, including hyaluronic acid, PRP, steroid, Botox and radiofrequency ablation, vary in effectiveness between patients; relief may be partial or temporary. Nothing in our marketing is a promise of a particular result.
12. Chaperones, companions and conduct. You may ask for a chaperone for any examination or procedure. Companions may wait in reception and may accompany you where safe and appropriate. We operate a zero-tolerance policy on abusive, threatening or discriminatory behaviour towards staff or other patients; we may end an appointment and refuse future bookings without refund of fees already due.
13. Results, reports and images. We aim to issue imaging reports within 24 hours (working days) and to offer a free 5-minute video consultation after Dr Sankaye has reported your scan (and for patients over 70). These are targets, not guarantees; complex cases, partner-centre scans, technical delays in transferring images to us, and clinician availability may extend them, and we are not liable for loss caused by delay. Reports are sent to you by email or message, and to your referrer, unless you ask otherwise. Reports are written for the referring clinician and address the clinical question asked; you should discuss the findings with your clinician. We will tell you and your referrer promptly of any urgent or unexpected finding. You may request copies of your images (DICOM) and reports; one copy is free, further copies may incur a reasonable fee. Our reports and images are our copyright; you may use them for your own care and legal purposes.
14. Reporting on scans performed elsewhere (second opinions). When we report on or review images produced by another provider, our opinion is limited by the quality, completeness and sequences of those images and by the clinical information supplied. We accept no responsibility for the technical quality of imaging we did not perform or for findings that those images cannot show.
15. Medicolegal reports and expert evidence. Medicolegal instructions are accepted on our separate Medicolegal Terms, which take precedence for that work. In summary: fees are payable by the instructing party within 30 days of invoice regardless of case outcome and are not conditional on the result; reports are prepared to a standard turnaround of 1–2 weeks from examination and receipt of records, subject to court directions; our expert’s overriding duty is to the court; cancellation of a medicolegal appointment with less than 3 working days’ notice is charged at 100%; attendance at court, conferences and answering written questions are charged at our published rates; and reports remain confidential to the instructing party and the proceedings.
16. CPD training. Course bookings are confirmed on payment. Transfers to another date are free up to 14 days before the course; cancellations within 14 days are non-refundable, though a substitute delegate may attend. We may cancel or reschedule a course and will refund fees paid (but not travel or other costs). Course materials are our copyright and for personal use only; certificates are issued on full attendance. Training is educational and does not confer competence to perform any procedure; delegates remain responsible for working within their own scope of practice and their employer’s governance.
17. Referrers. By referring a patient to us you confirm that you are a registered healthcare professional acting within your scope, that the patient has agreed to the referral and to our contacting them, and that the referral information is accurate. We will report back to you unless the patient objects. You are not liable for the patient’s fees unless you have agreed to be.
18. Complaints. We want to know if something has gone wrong. Please contact our Practice Manager at manager@lsri.uk or 0203 633 5040, or write to LSRI LTD, 19 Harley Street, London W1G 9QJ. We will acknowledge your complaint within 3 working days and aim to respond fully within 20 working days. If you remain dissatisfied you may ask for a review by a director. Concerns about an individual doctor may also be raised with the General Medical Council (gmc-uk.org).
19. Our liability to you. We will provide our services with reasonable care and skill. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be excluded or limited by law (including under the Consumer Rights Act 2015 and the Unfair Contract Terms Act 1977). Subject to that: (a) we are not liable for any loss that was not a foreseeable result of our breach, or for loss of income, profit, business, opportunity or goodwill, or for any indirect or consequential loss; (b) if you are not a consumer (for example a referrer, insurer, solicitor, employer or sponsor), our total liability to you in connection with any appointment or instruction is limited to the fees you paid to LSRI for it, excluding any amounts paid to partner centres or other third parties; (c) we are not liable for loss caused by information you or your referrer gave us that was inaccurate or incomplete, by your failure to follow pre- and post-procedure instructions, or by your decision not to accept recommended follow-up; and (d) we are not liable for the acts, omissions, products or services of any third party, including partner imaging centres, other clinicians to whom you are referred, insurers, finance providers, couriers, and the providers of the software, cloud, messaging, email and telephony services we use to communicate with you, nor for any security breach, data loss or interruption originating in their systems or in your own devices or accounts. Our clinicians hold professional indemnity cover as required by the GMC.
20. Events outside our control. We are not liable for any failure or delay caused by events beyond our reasonable control, including equipment failure, power or IT outages, cyber-attacks on us or our suppliers, supplier or partner-centre failure, staff illness, severe weather, transport disruption, epidemic, industrial action or government action. We will tell you as soon as practicable and offer a new appointment or a refund of the affected fee.
21. Personal property and premises. Our clinics operate within host buildings (Liv Harley Street Hospital and Medic Care Direct). We and the host are not responsible for loss of or damage to your personal belongings, vehicles or valuables, except where caused by our negligence. Lockers or storage, where offered, are used at your own risk. The host building’s rules (including on CCTV, security and parking) apply while you are on its premises. “Free parking” on our website refers to Harrow Council’s first hour of free parking, as published at the date of this notice, which requires registration with the council’s parking scheme and is subject to the council’s rules for the surrounding streets; parking availability is not guaranteed.
22. Data protection and confidentiality. We handle your personal data as described in our Privacy Policy, which forms part of these terms. By choosing to communicate with us by email, SMS, WhatsApp or cloud link you accept the risks described in that policy.
23. Changes. We may update these terms from time to time. The version on lsri.uk at the date you book applies to that booking. We may change prices at any time, but not for an appointment already confirmed unless the scope of the service changes.
24. General. These terms, our Privacy Policy and your booking confirmation are the whole agreement between us. If any clause is unenforceable the rest continues to apply. Our failure to enforce a term is not a waiver. You may not transfer your booking to another person without our agreement. Nobody other than you and LSRI LTD has rights under these terms (Contracts (Rights of Third Parties) Act 1999). These terms are governed by the law of England and Wales; the courts of England and Wales have exclusive jurisdiction, save that consumers living in Scotland or Northern Ireland may bring proceedings in their home courts.
